SEARCHES, QUERIES, & REPORTS

Many customers want TTR to produce a report in a format that they have been producing it in.     We feel that you understand that we cannot write different programs for different customers.   What we strive to do is give you ways to get the numbers/statistics that you need and then you can write or type those numbers into the report format that you have been using.   It’s easy.
Our competitors call Searches and Queries reports because in the broadest send of the word they are reports.  They are reporting information.   Our searches and queries are reporting information to you on screens so we do not call them reports, we simply call them ‘Searches’ and ‘Queries’.   Many times customers want to get the information that appears in Searches and Queries on paper.   If you want to get this information on paper then you must select everything in their grids and use the ‘Copy Selection’ option to copy and paste the information into Excel or Word.  We recommend Excel.   Once the data is in Excel then you can ‘dress it up’ in any way that you choose and then present it from there.

Searches

Searches let you search, no surprise there, the database.    Maybe you need to see if a microchip number is in your database.   Maybe you are looking for the particulars of an animal that you once had.   Or for donations that were in memory or honor of someone.   Here are the searches currently in TTR.
When doing searches it is important to know the ‘Starts With’ and ‘Contains’ techniques.    ‘Starts With’ searches the fields that start with the characters entered and ‘Contains’ searches for fields that contain the characters that you enter regardless of whether the field starts with those characters or not.

Queries

Queries are used to determine results of your activities.   Examples would be ‘how many animals did we intake during a specified period’, how many adoptions, how many vaccinations did we do, how many donations and what were their totals, and who are our top donors?   Queries give you numbers and the detail to back up those numbers.   Here are the various queries that you can use.

Reports

The word ‘reports’ means different things to different people.   At TTR we define reports as information that comes out on paper.    TTR produces information in many different ways but we restrict the word ‘reports’ to mean those that come out on paper.
